Privacy policy
This policy explains what information Sensory Room Design collects when you contact us or request a design, why we collect it, the lawful basis for doing so, how long we keep it and how to reach us about your data.

Who we are
Sensory Room Design is an independent sensory-room design and visualisation studio. We design rooms, we sell no equipment, and your costed specification is yours to build with anyone. For the purposes of UK data protection law, Sensory Room Design is the data controller for the information you share with us. You can contact us at hello@sensoryroomdesign.com.
What we collect
We only collect what we need to respond to you and to design your room. We do not buy personal data, and we do not ask for special-category information through our forms.
Enquiry details
Your name, organisation, role, email address and any phone number you give us when you complete an enquiry or design-request form.
Project information
What you tell us about your setting, your room and the people who will use it, so we can respond and prepare a design proposal.
Correspondence
The emails and messages you exchange with us, kept so we have an accurate record of your enquiry and our work together.
Site usage
If you accept cookies, anonymous analytics about how the site is used. You can decline these through the cookie banner without affecting your enquiry.

To answer your enquiry, prepare a design proposal and carry out any work you commission.
Keeping records
To maintain accurate records of our correspondence and the design work we deliver.
Improving the site
Where you have consented, to understand how the site is used so we can make it more useful.
Our lawful basis
Under the UK GDPR, we rely on the following lawful bases. Where you submit an enquiry or request a design, we process your information on the basis of taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries and running our studio. Where you accept analytics cookies, we rely on your consent, which you can withdraw at any time. We do not use your information for automated decision-making.
How long we keep it
We keep enquiry correspondence for up to 24 months, after which we delete or anonymise it unless an ongoing client relationship requires us to keep it for longer. If you become a client, we keep the information related to your project for the duration of our work together and a reasonable period afterwards to meet our legal and accounting obligations. If your enquiry does not lead to a project, we delete or anonymise your information once it is no longer needed.
Who we share it with
We do not sell your information. We share it only with the service providers we rely on to run the studio, and only so they can perform those services for us. These are Netlify, who host this website and capture the enquiry forms you submit, and Google, whose Tag Manager and Analytics tools we use, only where you have accepted analytics cookies, to understand how the site is used. Email you send us is received at hello@sensoryroomdesign.com. We may also share information where we are required to by law.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw consent where we rely on it. To make a request, email us at hello@sensoryroomdesign.com. If you are not satisfied with our response, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
Our site uses a small number of cookies. Analytics cookies load only if you accept them through the cookie banner, and you can decline without affecting your enquiry. Your choice is stored in your browser so we can respect it on future visits.
